Childcare Sage Custom Billing Functions

The Childcare Sage has the most comprehensive and flexible billing system on the market, regardless of price. It's not even close. With our billing system, you can setup different rates for different days, different parts of the day, start charging after a specific number of hours per day, or days per week or month, charge for hours outside of a schedule, charge for shifts, etc. You can also mix and match an unlimited number of rates on an account to automate most billing rates. With that said, there are some centers that charge based on sliding scales, or have billing rates that are not consistent and depend on too many factors for our system to automate. For these centers, we offer custom rate calculators. A custom rate calculator is a custom billing program that works with the Childcare Sage to perfectly automate exactly how your center bills, regardless of how your center bills. All rate calculators are based on actual hours attended. Examples of some of the custom functions we have created include:

1) A center charges by the hours at the center during the day with the following amounts: 1 to 2 hours are $5 per hour, 3 to 5 hours are $4.50 per hour, and over 5 hours is $4 per hour. The center runs the calculator once a week.

2) A center charges by the week based on how many days during the week the child is at the center: 1 day is $30, 2 days are $50, 3 days are $70, 4 days are $80 and all 5 days are $90. The center runs the calculator once a week.

3) A center charges by the hour with different rates depending on when the child is at the center, and a maximum rate for the day. 8:00am to 6:00pm are $25 for a 5 hour block. 6:00pm to 12:00am are $30 for a 5 hour block. If the child is at the center for 5 hours between 3:00pm and 8:00pm they are charged a $30 maximum. The center runs the calculator once a week.

4) A center charges by the hour rounded down to the nearest half-hour if 15 minutes or less of that half-hour are used. For example, if a child is at the center for 2 hours and 10 minutes, the time is rounded down to 2 hours; if the child is at the center for 2 hours and 17 minutes, the time is rounded to 2 hours and 30 minutes. The center runs the calculator once a week.

We normally charge between $150 and $250 to develop these rate calculators, which is very modest considering the number of hours that go into creating these rate calculators.
